Your role and what you can do

Civio Assist gives your team one of two roles: **Client Admin** or **Client Observer**. Your role decides what appears in your menu and which actions are available to you.

The two are closer than the names suggest. Both can review everything the chatbot is doing, and both can act on what they find.

What both roles can do
----------------------

- **View the reporting dashboard** and arrange the widgets on it.
- **View your chatbots** and open any one of them, including the **Bot preview**.
- **Read conversation history**, open any thread, and see the full exchange along with any feedback left on a reply.
- **Suggest additional knowledge**, creating, editing and deleting entries for your chatbots. Some changes are held for a Civio admin to approve before they take effect. See [Creating an additional knowledge entry](/articles/manual-context).
- **Change chat availability**, turning the chat on, turning it off, or putting it into maintenance.

Neither role is read-only. Both can change chat availability, which takes effect on your live website straight away, and both can propose changes to the chatbot's knowledge base.

What only Client Admin can do
-----------------------------

There is a single difference between the roles: **exporting data**.

What neither role can do
------------------------

Setting up and configuring the chatbot stays with the Civio team. That includes the topics the chatbot covers, its tone, its branding, the disclaimer wording, and adding or refreshing the content in its knowledge base.

These settings are closely connected, so a small change in one place can affect the quality of every answer the chatbot gives. Keeping them with the Civio team means each change is tested against the chatbot's answers before it reaches your website.

These are requests rather than settings you change yourself. Contact your Civio representative and they will make the change for you.

Changing your role
------------------

Roles are assigned by the Civio team. If you need a different level of access, or a new colleague needs an account, ask your Civio representative.
